Terms of Service

1. The Service

BookEasy provides a managed Facebook Messenger booking automation service for clinics, salons, spas, and other appointment-based businesses in the Philippines ("Client"). The service includes setup of an automated booking chatbot on the Client's Facebook Page, appointment management via Google Calendar, automated day-before reminders, day-after review requests, and a monthly performance report.

BookEasy is a software-as-a-service subscription. We do not sell or transfer any software; we provide access to and management of a hosted automation system on your behalf.

2. Subscription Plans and Fees

Available plans at the time of enrollment are:

Activation fee is due before platform activation begins and is non-refundable once activation has commenced. Monthly fees are due at the start of each billing month. BookEasy reserves the right to adjust subscription pricing with 30 days' written notice to existing Clients.

3. 20-Booking Guarantee

BookEasy guarantees a minimum of twenty (20) confirmed bot-originated bookings ("Bot Bookings") per 30-day billing period, commencing from the Client's system go-live date ("Guarantee Period").

  • If fewer than 20 Bot Bookings are generated during any Guarantee Period, the following calendar month of service is provided at no charge ("Free Month").
  • For each subsequent Free Month, BookEasy tracks Bot Bookings for that month. If 20 or more Bot Bookings are generated, normal monthly billing resumes the following month. If fewer than 20 are generated, the next calendar month is also provided free.
  • This cycle continues until the 20-booking target is achieved in any single 30-day period.

The guarantee is satisfied by Bot Bookings only — walk-ins, phone bookings, and bookings made outside the BookEasy system are excluded. This guarantee is the Client's exclusive remedy for underperformance. No cash refunds are provided.

The guarantee does not apply if: (a) the Client restricts BookEasy's access to the Facebook Page or Google Calendar; (b) the Client's Page is suspended or restricted by Meta; or (c) the Client instructs BookEasy to pause or deactivate the system.

4. Client Obligations and Facebook Page Access

To deliver the service, the Client agrees to:

  • Grant BookEasy "Editor" or "Admin" access to the Client's Facebook Page for the duration of the subscription.
  • Grant BookEasy access to a Google Calendar account to manage appointment scheduling.
  • Provide accurate clinic information (services, prices, operating hours) and promptly notify BookEasy of any changes.
  • Not independently modify or deactivate the BookEasy automation without prior written notice.

BookEasy will not post public content on the Client's Facebook Page without explicit approval. Messenger automation is limited to direct message interactions only.

5. Data Privacy — RA 10173

BookEasy processes personal information (names, phone numbers, appointment details) of the Client's patients in accordance with the Philippine Data Privacy Act of 2012 (RA 10173).

  • The Client is the Personal Information Controller (PIC) — they determine the purpose and means of processing patient data.
  • BookEasy acts as a Personal Information Processor (PIP) — processing data solely on the Client's documented instructions.
  • Patient data is stored in Airtable (US-based) and processed via ManyChat (US-based). By using the service, the Client acknowledges these sub-processors and consents to cross-border data transfer.
  • BookEasy implements appropriate technical safeguards including encrypted data transmission and role-based access controls.
  • Patient data is retained for the duration of the subscription plus 12 months, after which it is deleted upon written request.

The Client is responsible for ensuring their patients are informed that their booking data is processed via Messenger automation.

6. Cancellation

Either party may terminate the subscription with 15 days' written notice (via Messenger, email, or SMS). Upon termination:

  • BookEasy will remove its access from the Client's Facebook Page within 3 business days.
  • The Client's activation fee is non-refundable.
  • Prorated monthly refunds are not provided for partial months.
  • BookEasy will provide a final export of the Client's booking data from Airtable upon request.

7. Limitation of Liability

To the maximum extent permitted by Philippine law, BookEasy's total liability to the Client for any claim arising from or related to the service shall not exceed the total monthly fees paid by the Client in the three (3) months preceding the claim.

BookEasy is not liable for: (a) interruptions caused by Meta/Facebook platform outages; (b) changes to Facebook Messenger's API or policies; (c) missed bookings resulting from the Client's own Page restrictions; or (d) consequential, indirect, or incidental damages.

8. Acceptable Use

The Client agrees not to use the BookEasy system to:

  • Send unsolicited commercial messages (spam) to patients.
  • Collect patient data for purposes other than appointment booking.
  • Violate Meta's Platform Terms or Community Standards.
  • Misrepresent the nature of the automated booking system to patients.

9. Governing Law

These Terms are governed by the laws of the Republic of the Philippines. Any dispute shall first be attempted to be resolved through good-faith negotiation. If unresolved, disputes shall be submitted to the appropriate courts of Cagayan de Oro City, Philippines.

10. Changes to These Terms

BookEasy may update these Terms at any time. Clients will be notified of material changes via Messenger or email at least 15 days before the change takes effect. Continued use of the service after the effective date constitutes acceptance of the updated Terms.
